Exhibit Booth Personnel (EBP) Registration is Now Open!

The primary contact for each booth has now received an email entitled “2010 BIO International Convention Exhibitor Registration Instructions”.  It contains the instructions and link to your Exhibitor Registration Dashboard.  Through this newly customized interface, you can register your Exhibit Booth Personnel (EBP) badges in our classical format or by uploading an excel spreadsheet, purchase reception tickets for your EBP, and order lead retrieval for your booth!

If registering for Session or Full Convention Access, you will need to register as an attendee at http://convention.bio.org. March 11th is the deadline to receive the early bird discount for these passes (and BIO One-on-One Partnering).  If you are already registered as an EBP, you can upgrade via the links in your confirmation email.  PLEASE NOTE: You must have either a Session or Full Convention Access pass to participate in Partnering.

Thinking About Hosting an Exhibitor Hospitality Reception?

There is still time to submit an application to host an Exhibitor Hospitality Reception in your booth on Tuesday, May 4 from 5:00 pm until 6:30 pm. By submitting an application to BIO, you will have the opportunity to promote your event in various sources, such as:

  • Pocket Guide 
  • Signage
  • BIO Party List
  • Show Daily publication
  • Handouts
  • Convention website
  • Email broadcasts to the convention attendees
  • Exhibit Hall announcements…and more!

Shipping foods or beverages from your home country for the Exhibitor Hospitality Reception? Make sure to consult with our Freight Forwarder and Customs Broker, Rock-It Cargo on how to make the shipping process stress free.

Also remember, even if you want to bring your own foods and beverages, you still need to connect with the caterer at McCormick Place (CRP) to discuss your corkage fee and arrange your delivery. Fill out the Exhibitor Hospitality Reception application ASAP so that we can get you in touch with CRP.

Managing Your Booth

Exhibitor Appointed Contractor (EAC) Registration

If you are hiring any company other than BIO’s official vendors to work on your booth during installation, dismantle or show hours, you need to make sure they are registered with us in order to gain access to the exhibit hall. Without EAC registration labor will not be able to enter the exhibit hall. Click here to view EAC registration instructions.

Enter Your Exhibitor Description today!

The description wizard is open and ready for you to enter in your companies. This Wizard allows you to create your listing for both the Digital Directory and Buyers Guide and your online myBIO listing. myBIO is the personal event planning service that enables attendees to search for your company and product information, bringing more qualified buyers to you before, during and after the event.

Prior to Thursday April 1, 2010 – Edits made within the Wizard will appear in the Digital Directory and Buyers’ Guide and in your myBIO online listing.

From Friday April 2 through Friday April 9, 2010 – Portions of the Setup Wizard will be shut down as we collect data for the CD-ROM version of the Digital Directory and Buyers’ Guide.

Beginning Monday April 12, 2010 – You will be able to edit your entire profile which will appear in the live version of the Digital Directory and Buyers’ Guide as well as in your online myBIO listing. Edits made after Thursday, April 1, 2010 will NOT be included in the CD-ROM version of the Digital Directory and Buyers’ Guide.

Group deposits (10+ rooms or more) are refundable for reservations canceled on or before March 18th, 2010.  Deposits become non-refundable for new reservations or cancellations received on March 19, 2010. New Group requests will continue to be accepted based on availability and full deposit must be received within as outlined in group agreement.

 

Housing closes on April 19th.  New reservations will continue to processed, based on availability, but, we can no longer guarantee discounted rates.

Pavilion Exhibitor Tool (PET) – Pavilion Organizers, Get Your Companies In!

All companies must be entered into the PET by March 26, 2010 in order to be included in the Digital Directory and Buyers Guide (CD ROM version). Entries made after this date will ONLY be included in the online version.

International Exhibitor Tips

International Shipping with FedEx vs. Rock-It Cargo

Special care should be taken when shipping exhibit material with international courier services such as FedEx, UPS and DHL.  These services are best used for small, low valued shipments that do not contain restricted goods such as food, beverages, electronic devices, medical equipment, drugs and more.  Large shipments may not be accepted and high valued or restricted material shipments inevitably may get delayed in customs. 

Typically, the courier company only provides the clearance as part of their service at a hub that can be some distance away from the location of the event.  BIO recommends contacting an experienced international freight forwarder and customs broker, like Rock-It Cargo if your cargo exceeds 60 kilos in chargeable weight, is valued more than $1250.00 or contains restricted materials.
